Account Deletion Policy

This policy explains how you can request deletion of your account on the Rowan Rose mobile app (Android and iOS) and the client portal at clientportal.rowanroseclaims.co.uk, and what happens to your data when you do.
It applies whether you deal with us as Rowan Rose Solicitors or as Fast Action Claims. Both are trading names of Rowan Rose Limited.
How to request account deletion
From within the app — open the app and go to Settings → Account → Delete my account, then follow the steps on screen. This is the quickest route.
Online — complete the form at www.rowanrose.co.uk/account-deletion. You do not need to be signed in, and you do not need the app installed.
By other means, if you prefer:
- Email contact@rowanrose.co.uk with the subject line “Account deletion request”.
- Call us on 0161 505 0150 (Monday to Friday, 9 am to 5 pm).
- Write to us at City Point, 701 Chester Road, Stretford, Manchester, M32 0RW.
Verifying your identity
Before we action a deletion request we will confirm that the request has come from you. We will normally do this by sending a verification link or code to the email address registered on your account. If we cannot verify you that way, we may ask for one further piece of information we already hold. We will only ask for what is reasonably necessary to satisfy ourselves of your identity, and we will not ask you to send us identity documents for this purpose.
How long it takes
We will action your request within one month of verifying your identity, and confirm completion by email. If your request is complex we may extend that period by up to two further months, as the UK GDPR permits. If we need to do that, we will tell you within the first month and explain why.
What we delete
When your account is deleted, we remove the following:
- Your portal login credentials (email address and password hash).
- Push notification device tokens and your notification preferences.
- Session records and sign-in history.
- Any app-specific preferences and settings.
These items are removed from our live systems within 14 days of your request being verified. Copies may remain in our secure backups until those backups are overwritten in the normal cycle, currently 30 days. During that period the data is not accessed, restored or used for any purpose. Where any of this data is held by a service provider on our behalf, we instruct them to delete it at the same time.
Once deleted, your account cannot be recovered. If you wish to use the app or portal again in the future, you would need to create a new account.
What we retain, and why
As a firm of solicitors regulated by the Solicitors Regulation Authority, we have legal and regulatory obligations that require us to keep certain records even after your account is deleted.

Retained data is held securely, with access restricted to authorised staff. It is not used for marketing, or for any purpose other than meeting the obligations described above. Once the relevant retention period expires, the data is securely destroyed.
Why we can keep this data even if you ask us to delete it
Your right to erasure under the UK GDPR is not absolute. It does not apply where we need to keep the data in order to comply with a legal obligation (Article 17(3)(b)), or for the establishment, exercise or defence of legal claims (Article 17(3)(e)). The records in the table above fall into one or both of those categories.
Effect on your claim
Deleting your portal account does not end our retainer or stop us acting on your claim. If your matter is still active, we will continue to act for you and communicate with you by email, telephone or post.
If you wish to end our retainer entirely, that is a separate matter — please tell us and we will follow our standard file-closure process, including confirming the position on costs.
Your other rights
Deleting your account removes the items listed under “What we delete” above. It is a function of the app and portal, and is not by itself a formal request for erasure of everything we hold about you.
If you want us to consider erasing other data we hold, please say so and we will assess that request separately under Article 17 of the UK GDPR and respond within one month.
You also have the right to request access to your data, correction of inaccurate data, restriction of processing, and data portability, and to object to processing in certain circumstances. Full details are in our privacy policy.

If you are unhappy
If you are unhappy with how we have handled your deletion request or any other data protection matter, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
If your complaint is about the service you have received from us more generally, please raise it with us first under our complaints procedure. If you remain dissatisfied you may be able to refer the matter to the Legal Ombudsman at legalombudsman.org.uk.
